How a seamless business move unfolds!
Meticulous “reverse planning” begins a few months before the move. Your staff will be asked to attend a clearly presented information session explaining how the moving operations will unfold and what everyone’s role will be. Can’t get everyone in one place at one time? Sales staff out on the road? Not a problem, as a presentation video is made available to everyone on our website and on YouTube.
Sorting through little-used belongings before the move
A move starts with good sorting. In an office, lots of documents and equipment are often kept for no good reason. Including such superfluous materials in the move can significantly increase the overall cost. So to help you get rid of them, your mover will provide you with:
- A confidential document shredder
- Bins for class 2 waste (unsorted waste)
The sorting operation takes time, and should begin well before moving day.
Packing and labelling your staff’s belongings
Each person’s effects are carefully packed and labelled the day before the move. Your removal company will rent you packing materials that are resistant, or even waterproof. Rigid plastic boxes in different colours are ideal, since they can be easily stacked and are clearly identifiable.
- One colour per department or floor. The boxes are identified precisely using each employee’s initials;
- Two colours per employee: one for the contents of their filing cabinets, the other for their office items, which are needed most and will be unpacked first.
A layout plan of the new address is produced, in order to define where the different containers should go. For shared items (kitchen utensils, documents available to all, archives), a designated person needs to be put in charge. If you wish, you can receive help with packing your things. In general, anything that's not labelled stays where it is.
Preparing to move IT equipment
Your IT is our priority. The server and the various workstations need to be unpacked and connected as soon as your employees arrive at their new office. This is why IT equipment benefits from an express move, early in the day.
Moving specific machines and equipment
For the transportation of fragile laboratory equipment, specific solutions are provided. Despite all of the precautions taken, high-precision equipment always requires some minor adjustments after the move, so it’s often a good idea to use this opportunity to have maintenance performed by your service provider.
The contents of laboratory refrigerators and freezers also receive special attention, in the shape of insulated packing, transportation at the last minute, etc. The season and the route are also taken into account.
Do you have photocopiers and large printers to move? If these devices are leased, they will be dealt with by the leasing company. The technical crew is sent out to prepare the copiers, and also to reinstall them after transportation.
Several moving crews at your service
On moving day, everything is organised so that each of the movers knows exactly what to do. They’ll find the workstations cleared out and the IT equipment disconnected. Several crews will start working simultaneously:
- Protection of entrances, lobbies, floors, door frames, and lifts in preparation for bringing furniture through;
- Preparation of office furniture: shelves, shelf pins and drawers are removed. Beforehand, everyone will be asked to leave the keys in the corresponding cabinets and desks;
- Packing of IT equipment.
When all the furniture is ready, loading can begin. Plastic boxes go onto the lorry first, and larger furniture last.
